Recently Changed Objects
Recently Changed Objects provides an interactive dashboard (as part of a worksheet) identifying objects which have changed and is in the current configuration.
You may also check if a particular user, including the currently logged in user, has the Steward responsibility.
Steps
-
Sign in as a user with read access to some change objects.
-
Click Objects > My Changed Objects.
Example
Sign in as Stu.
Go to OBJECTS > Recently Changed Objects.
You may also configure email notification by being a watcher.
Conveniently, you may also discover object changes by using the Last Change Event column in a worksheet (search result). Just as in the Recently Changed Objects worksheet shown above.
You may not filter by Last Change Event, but instead may filter by Updated Date and obtain a similar result.
You may also check if a particular user, including the currently logged in user, has the Steward responsibility and filter the results accordingly.
Assign a Steward
Stewards are users or groups of users who special meaning for objects, include those in custom models. They act as expert who steward data elements through the data management and governance processes.
From the product perspective, stewardship is treated as just another responsibility assignment. Thus, for a custom model object, like a term in a glossary, one should refer to the instructions to add, review and edit terminology. Any object role may be a "stewardship" role, as one may filter by role in a dashboard. By default, the system assumes the only stewardship role is Steward.
As with all responsibility assignments (e.g., Steward), they are inherited via the parent-child (container) associations defined within the custom model (e.g., a glossary). Thus, if you assign a the Steward role to some level in the glossary hierarchy or at the top level, all the contained terms will have that same assignment.
In earlier versions of the product, stewards were the ones notified of changes to model. This is no longer the case. Instead, watchers are notified of changes to models when enabled. The migration from stewards to watchers is performed automatically on upgrade from previous versions and thus all stewards become watchers.
Steps
-
Navigate to the object page for a particular term in a custom model (e.g., glossary).
-
Go to Responsibilities tab.
-
Assign the desired roles to one or more users.
Example
Sign in as Administrator. Navigate to the object page for the GDPR term in the Enterprise glossary. Go to Responsibilities tab and assign the Steward role to Stu.
Click SAVE.
Go to the Contains tab and click on a term and note it is assigned the same responsibility.
Set the Workflow State of an Object
You may not set the workflow state of an object by editing it. Instead, you will use the workflow transition buttons presented to you based upon:
-
The workflow processes enabled for the specific custom model like a glossary
-
The workflow state of the term you are editing.
Note: If there is no workflow process defined for the custom model in which the object is contained then the object will always be in the Published state and there is no need to set it.
List Objects by Steward Assignment
See filtering by Steward.
Open Business Glossary from a Model
A special report is available to identify and manage the Business Names and Descriptions of fields in a model (e.g., business intelligence report) and the glossary terms which provide those values through Is Defined By relationships and inference.
Steps
-
Navigate to the object page for a particular business intelligence report.
-
Go to More Actions > Open Business Glossary in the upper right.
-
From here you may:
-
Go to Settings and enable or disable the following options:
i. Include undocumented objects
ii. Model documentation only
-
Double-click any row to see the Edit Documentation dialog
-
Example
Sign in as Administrator. Navigate to the object page for the Finance1 workbook in the Tableau model. Go to More Actions > Open Business Glossary in the upper right
Now, double click on the first row of the report in the second column.
The Edit Documentation dialog is available from the report. This is a similar report to that provided when performing a call back from a BI tool in order to obtain a glossary of the report fields.
Produce an Audit Log
The History tab is available on an object page.
Example
Export a Glossary
Simply use the same process to export any custom model.
As with any type of custom model depending upon the level of detail selected, you will obtain one or more csv files zipped up. E.g., here is the Terms CSV file:
You must have at least the Metadata Import / Export capability object role assignment on the term (and children) you are interested in.
Import a Glossary
Simply use the same process to import any custom model.
Using the Glossary Export/Import CSV format
The CSV format for import and export of glossaries has changed to the common format for any custom or imported model with this release of the product. However, you can import the glossary_export.csv and the glossary_relationships_export. generated by earlier versions of the product using the new format MM 11.0 Import from CSV utility.
Always import the glossary_export.csv file before you import the glossary_relationships_export.csv.
The attributes on the legacy glossary terms will be converted to the attributes or roles of the new business glossary terms. For example, the Stewards attribute is converted to the Steward object role. The Abbreviation and Alternative Abbreviation attributes are converted to the Has Acronym roles. Acronyms are automatically created under an Abbreviations term under the glossary. The Status and State attributes are converted to the Workflow State and/or Workflow Deprecation Requested attributes if the glossary is under workflow. The Definition attribute is converted to the Description attribute. The Documentation attribute is converted to the Long Description attribute.
The CSV file (or rolled up into worksheets in and XLSX file) is a format that maps to (and is defined by) the underlying metadata for that model type. Thus, it is unlikely that this format will be stable into to future and some adjustments may be necessary to any utility designed to generate this format for consumption by MetaKarta. Thus, it is recommended that you perform a diff and adjust the format of any older CSV (Excel) format exports with a newer export.
You must have at least the Metadata Import / Export capability object role assignment on the term (and children) you are interested in.
